WNS Helpful Hints - Issues with SharePoint, Office apps, or Email

Please check the following steps if you are experiencing sync issues with SharePoint, Email, or Excel documents, or if your C drive is out of space:

Update Outlook Cache to 3 months
In outlook, click File > Account Settings > Account Settings, this will open a new window
In the new window, click your email address to highlight it
Click Change, this will open a file explorer window
In the new window, drag the bar so that the cache is set to 3 months
Continue/Save/Exit

Rename Outlook .OST file
In outlook, click File > Account Settings > Account Settings, this will open a new window
In the new window, click the Data Files tab
Click your email address to highlight it
Click Open file location, this will open a new file explorer window
After the new window opens, Close outlook, then go back to the new window

In the new window, Click the dropdown next to View > Click Show to expand the options,
Confirm the option for 'File name extensions' is selected, if not select it
Now in the window, look for the file with your name that ends in .ost - it should be very large

Right click on that file to rename it
Rename the file by adding .old at the end, so it should look like:
  • heather.macchi@triumproperty.com.ost.old (except with your name)

Once the file is renamed, open Outlook
It will take some time for messages in the inbox and shared mailboxes to fully sync
Note: The above steps will make it so only the last 3 months of emails appear in the Outlook desktop app. If you need any emails older than 3 months, they can be accessed via Outlook through the browser (accessible from portal.office.com)

Delete the Old .OST File
Once Outlook is re-opened, go back to the file explorer windows with the .ost file
Right click on the OLD .ost file and click Delete

Empty Recycle Bin
Once you have deleted the OLD .ost file, empty your recycle bin to reclaim the space:
Open a new file explorer window (looks like a yellow folder)
In the URL bar at the top, type in recycle bin and press Enter on keyboard
This should bring you to the Recycle Bin
Click Empty Recycle Bin at the top
Click Yes on the dialogue box asking if you are sure
